Job Details Below:

Title: Climate HQ Events & Earth Week Coordinator 

Compensation: $20 per hour for undergrad students; $25 per hour for graduate students

Hours: 10-15 hours per week (possibly more if there is need and you are available); up to 20 hours during Earth Week (April 21st - 25th)

Work Location: Hybrid (remote and on-campus)*

Internship Duration: This internship takes place during the Spring 2025 Semester. Must be an enrolled SFSU undergraduate or graduate student at this time.

  • April 21-25, 2025: 3rd Annual Earth Week Celebration

*Note on Hybrid Work: Much of the work in this role can be done remotely; however, the job requires that you be available to work from and meet on campus as needed. 

The job also requires that you be physically on campus to help oversee events during Earth Week 2025, so your schedule will need to be flexible during the week of April 21-24 (though we understand that there are obligations you may not be able to reschedule). If hired, we will be happy to provide letters to your professors and/or other employers requesting they make accommodations for the week of April 21-24, although this does not guarantee that they will oblige. 

DISCLAIMER: If you are offered the position and choose to accept it, you can begin working as early as Jan 27, 2025. However, please be aware that due to the onboarding process at SFSU, it can take up to 2 months to process you in our payroll system. Compensation will be retroactively applied for any previous hours worked once you are fully integrated into our ADP system.

ABOUT EARTH WEEK 2025

Our 3rd Annual Earth Week Celebration will take place Monday, April 21st through Thursday, April 24th, 2025. It is a week full of educational, creative, and interactive events hosted jointly by Climate HQ and the Environmental Resource Center (ERC) student leaders. 

During Earth Week 2025, we will host panel discussions, art, music and entertainment, a green film festival, student mixers, a job fair, and many other events and activities that are designed to provide students, faculty, staff, and communities outside the university meaningful opportunities to get involved in the fight for climate justice and to celebrate the diversity of the climate movement. 

 

JOB DESCRIPTION: Climate HQ Events & Earth Week Coordinator

As the EventsEarth Week 2025 Coordinator you will assume a pivotal role in helping Climate HQ in the development and coordination of our 3rd Annual Earth Week Celebration scheduled to take place from Monday, April 21 to Thursday, April 24, 2025, including our 3rd Annual Climate & Justice Film Festival on the evening of Thursday, April 24.

Your job as the Earth Week 2025 Coordinator will be to help plan, organize, schedule, and oversee these daily events. Duties include but are not limited to: 

  • Outreach to student groups
  • Managing recruitment and scheduling for student musicians
  • Managing the internal calendar for Malcolm X Plaza (MXP) events
  • Communicating and coordinating with campus stakeholders and outside organizations
  • Creating, designing, and distributing publicity materials
  • Attending weekly planning meetings and providing updates to the Climate HQ Annual Events Committee
  • Working closely with the Environmental Resource Center (ERC) student leaders
  • Being onsite during Earth Week to oversee the smooth operation of these events
  • And bringing your own creative visions to the planning of these events!

 

MORE DEFINED ROLES & RESPONSIBILITIES FOR THIS POSITION

1) Event Planning and Coordination:

  • Take an active role in the strategic planning and execution of Climate HQ Earth Week events.
  • Collaborate with various campus programs and departments to develop comprehensive event plans, including logistical details, timelines, and financial expectations.
  • Work closely with our HQ Program and Communications Specialist (Alcides); the ERC Student Director (Claire); and our HQ Events Chair (Erica) and the HQ Events Committee.

2) Communication and Promotion:

  • Contribute to the development of engaging promotional materials, collaborating with design and marketing teams to create compelling content.
  • Assist in crafting and implementing targeted marketing to enhance event visibility and attendance.
  • Monitor and engage with social media platforms to foster pre-event excitement and post-event engagement.
  • Work in collaboration with our HQ Program and Communications Specialist (Alcides) and HQ Communications Chair (Dr. Constance Gordon)

3) Attendee Engagement:

  • Provide on-site support during events, acting as a primary point of contact for attendees, and helping troubleshoot issues as they arise.
  • Implement strategies to enhance attendee experience, such as interactive elements, networking opportunities, and post-event surveys.
  • Collect and analyze data on attendee feedback to identify areas for improvement and implement enhancements for future events.

4) Budget Management:

  • Help ensure Earth Week production stays within our allocated budget.

5) Collaboration:

  • Foster strong relationships with university departments, student organizations, and external partners to encourage collaboration and support for events.
  • Seek out opportunities for co-sponsored events and collaborative initiatives to maximize resources and impact.

6) Administrative Tasks:

  • Maintain organized and up-to-date event documentation, including guest lists, RSVP tracking, and event timelines.
  • Prepare and distribute event-related materials, such as agendas, name tags, and promotional items.
  • Assist in post-event evaluation, compiling data and feedback for comprehensive event reports.

7) Environmental and Climate Justice Knowledge:

  • Understanding of environmental and climate justice issues/concepts to ensure event themes align with these principles.
  • Knowledge of current issues and debates in the field, contributing to the integration of relevant content in events.

    • Experience tracking and managing a budget
  • Marketing, Graphic Design, and Creativity:
    • Basic familiarity with graphic design software such as Canva in order to create engaging flyers and other event materials.
    • Insight on how to best engage the student population at SFSU.
    • Creative eye toward design and event set-up
  • Logistics Coordination:
    • Experience in managing event logistics, including venue selection, catering arrangements, audio-visual setups, and transportation logistics.
